Plain-language summary

Written in plain language. Where a detail has not been decided yet, this page says so rather than guessing.

What we collect

When a Team Leader registers a team, we ask for:

  • the team name, the challenge track, the school name and city, and an optional one-line idea;
  • each student’s full name, grade and email address (a team can have one, two or three students);
  • each student’s school ID / roll number (the school ID card, register or roll number), used only so the organisers can check that each student belongs to the school named. It is visible to the organisers and the Team Leader (a teammate sees only their own), never to judges, and is not sent in emails;
  • a parent or guardian contact (an email address or mobile number) for each student, and an optional mobile number for each student;
  • a record of the confirmations ticked at registration (rules, parent or guardian awareness, privacy, conduct and terms) and the time they were given.

Later, the Team Leader adds the Round 1 abstract, a link to the 6-slide presentation, a link to the prototype video and optional notes. We also keep:

  • a log of the emails we send (the address, the subject line and whether it was delivered);
  • a record of actions taken by organisers and Team Leaders (who did what, and when);
  • for finalist teams, whether the one payment per team has been confirmed. We never receive card, bank or UPI details;
  • for finalist teams only, a bonafide certificate issued by each student’s school (a PDF, JPG or PNG file), uploaded by the Team Leader. It is kept in private storage and is visible only to the organisers: judges, mentors and other teams never see it.

If you use the Contact page, we receive your name, email address, topic, optional team reference and message, by email. That message is not saved in our database.

Why we collect it

Only to run the event: to confirm eligibility, contact teams and parents, evaluate submissions, arrange mentoring and the Grand Finale, confirm finalist participation and its one payment per team, answer questions, and keep the event secure.

Students, parents and consent

Participants are school students in Grades 6–11, so they are children. Under India’s Digital Personal Data Protection Act, 2023, we process a child’s information with the consent of their parent or guardian.

At registration the Team Leader confirms that the parent or guardian of every student on the team is aware of the registration. We do not check this with each parent ourselves. If you are a parent or guardian and you do not agree, write to us and we will act on it.

A parent or guardian can withdraw consent at any time (see “Your rights”). Withdrawing consent may mean the student can no longer take part.

Services that handle the data

This website uses a small number of outside services. They handle data for us only to provide their service:

  • Clerk for sign-in (your email address and, if you choose Google sign-in, the basic account details Google shares);
  • Supabase for the database that stores registrations and submissions;
  • Resend for sending email;
  • Vercel for hosting the website.

Presentations and videos are not uploaded to us. Teams share them as links from Google Drive, YouTube or Vimeo, in their own account, and those services have their own privacy terms. Some of the services above may process data on servers outside India.

Who can see it

  • Organisers. The organisers from The Pupil Saveetha Eco School and The Pupil International School and the coordinators supporting the event can see registrations and submissions.
  • Judges and mentors. They see a team’s reference code and track, together with the abstract, presentation link, video link and notes for the entries they review. They do not see student names or contact details. The school name is shown to judges only if the organisers switch that on. Mentors also see the team name for the sessions booked with them.
  • Your own team. The Team Leader can see the team’s details and edit them while registration is open. Other students on the team can sign in with the email the Team Leader entered and see the team’s progress, but not other students’ contact details.

Cookies and this website

This website uses cookies only to keep you signed in. It does not use advertising or analytics cookies or tracking scripts.

Your browser also keeps a draft of the registration form on your own device while you fill it in, and a small note that helps show the right menu. These stay on your device. Like any website, the hosting provider may keep standard technical logs (for example, the time of a visit and the page requested) to keep the site running and secure.

Photographs and recordings

Whether the Grand Finale will be photographed or recorded, and how any such material would be used, has not been decided. The organisers will state this clearly, and ask for any consent that is needed, before the event.

How long we keep it

Personal data is deleted or anonymised within 90 days after the event closes, unless the organisers announce a different date.

Your rights

A parent, guardian or student can ask us to:

  • tell you what information we hold about the student or team;
  • correct anything that is wrong;
  • erase the information, or withdraw consent.

Write to risehackathon.support@thepupil.in from the email address on the registration, or from the parent or guardian contact given for the student, and say what you need. Team Leaders can also correct team and student details on the dashboard while registration is open.
